Email Marketing: Three lessons learned at the MarketingSherpa Email Marketing LEAPS Advanced Practices Workshop

I recently attended the MarketingSherpa Email Marketing LEAPS Advanced Practices Workshop in Boston (my supervisors let me out for fresh air once per season), and though these events are always good for new tips, tactics and ideas, I never expected to experience one emotion:

Surprise.

But, after sharing an enjoyable lunch with a handful of attendees, I felt just that. We were in downtown Boston, just a few miles from the regular site of Sherpa’s annual B2B Summits, where the world’s most tactical marketers come to polish their skills, network with similarly experienced professionals and share their stories of success. To boot, we were at an advanced practices workshop – a title that implied this was no introductory, 101-level path into the “deep end” of email marketing.

But, one bowl of chowder later, I learned that a good percentage of the day’s attendees were either new to email marketing, or – in one case – new to marketing altogether. At first, I was taken aback by the fact that these relative newbies were putting themselves in a position to be overwhelmed. And, while the table waited for me to stop making that confused puppy look, they explained how not only was the workshop giving them actionable items to bring back to the office, they were also gaining a stronger understanding of email marketing in general.

Then I went through the event presentations again, and soon realized they had a point. In email marketing (actually, all marketing), no matter how advanced a tactic or idea may seem, it always comes back to the basics. And I don’t just mean marketing basics, but rather the very cornerstones of communication and interaction.

Here are just a few of the things I learned in the LEAPS workshop that support this point:

1. Relevance is paramount

According to the MarketingSherpa 2011 Email Marketing Benchmark Report, providing relevant content remains both a top priority and the most significant challenge facing email marketers today. No matter how much time or resources you invest in your email campaigns, it’s all for naught if these messages don’t find their way into a recipient’s inbox.

Relevancy can be defined as sending the right message to the right person at the right time. In order to improve deliverability, you must engage your audience with relevant content. If I sign up for email alerts after shopping for cycling gear, please don’t bombard me with emails about all-natural fruit juice. Maybe I’ll care, maybe I won’t, but this isn’t why I came to you in the first place. Email content needs to be targeted and appropriate, justifying a user’s opt-in and continued opens and clicks.

Remember – it’s good to eat a little humble pie before creating an email program. As marketers, sometimes our egos lead us to become out of touch with the reality of a situation. We start thinking we know what the customer “really” wants before they tell us their needs. There isn’t anything more important than keeping the promise to deliver exactly what the subscriber requested and nothing more.

At the core of relevant communications is value exchange. The majority of email messages should contain valuable information in the form of reports, entertaining videos and insightful stories — not endless self-promotion.

2. Respect your audience

I had no idea that my mother and Aretha Franklin were email marketers, but just as they instilled all those years ago, respect is paramount in this discipline.

I like choices. We all do. When attempting to retain subscribers, it’s imperative to give customers a chance to “opt down” rather than opt-out. Options for this include reducing frequency, changing offer types as well as subject matter topics. Also, it’s good to include links to “follow” and “like” options, as your customers may prefer communicating on social media sites. The goal is to let the user control the conversation, not vice versa.

And for the love of everything we hold dear, let people decide when they receive from you. For the last 40 years, the US Postal Service has allowed people to stop mail delivery for a set period of time, so overflowing mailboxes don’t invite the local burglars over for a buffet of your finer things. Yet, this option is rarely mentioned for email.

Remember – while it might seem enticing to send every possible offer and announcement to all of your subscribes, if you over-send to an unresponsive subscriber, you may harm your deliverability reputation and success metrics.

In short, if someone on your list leaves, let them go. If they don’t come back, they were never yours to begin with.

3. Email marketing is based on relationships

In email marketing, a relationship begins the moment the user opts-in. Once this happens, you are responsible for ensuring that your recipients feel welcome, informed and satiated with relevant content. This all starts with the welcome message.

The importance of the welcome email message cannot be understated. For some consumers, this will be the first conversation they have with the brand. Hopefully, it will be the first step toward that person becoming a regular customer, if not an out-and-out brand evangelist. Remember to give them more than they may expect, in hopes that they will be looking forward to your next send.

You want your email to set the tone for the ongoing relationship, which is why it’s always good to start with a sincere “thank you.” Yes, just like your mother told you – manners are important. The words selected must support your brand’s voice, and successive messages must meet subscriber expectations.

Remember – like  high school romance, not all relationships last forever. Try not to take it personally when you realize how many subscribers go inactive. Subscribers don’t always give an official good-bye. Sometimes their interests change, they prefer a different communication channel, or simply change jobs.

Stay positive and believe they have just been too busy to interact with your brand. You can send a simple “we missed you” note to reengage the subscriber, but keep in mind that the special offer should not be over the top so as to sound needy or even desperate.

No 75%, “buy-one-get-five” discounts, folks.

To draw a parallel, if my wife and I have an argument, I may apologize (yes, let’s work under the assumption that I’m wrong in this scenario) by offering a gift as a show of remorse. If I come presenting extravagant diamonds, she may accept my apology, but the extreme, over the top gift may indicate that the argument was more serious than it was, not to mention entirely my fault.

Approaching a re-engagement email this way might just chase them away permanently, even if there’s a significant offer on the table. An over-the-top offer might even make users question your product’s overall value.

However if I give my wife a small bouquet of flowers to apologize I will show sincerity for possibly hurting her feelings, but the focus will remain on the apology and not the gift. This also applies to an email relationship; you do not want an idle subscriber to reengage solely for the prize, otherwise you will be in the same situation again, and will have started (or continued) a bad communication cycle.

Looking back at that lunch conversation, I shouldn’t have been so surprised that beginners were taking so much from an advanced practices workshop. Because, as we see in the LEAPS methodology, email marketing only serves to reinforce basic, evergreen marketing tactics.

If only I knew this stuff during my first heart-wrenching break-up.

I’m a huge skeptic by nature. Moon landing? Pshh. More like a studio production in Houston. But, Karen Rubin really won me over with this talk at the MarketingSherpa Email Summit…

Our own Adam T. Sutton recently wrote about this topic on the MarketingSherpa blog – Email Marketing: An inbound tactic?

Skeptic that I am, I had Adam thoroughly tone down that post. I did not buy into email marketing as an inbound tactic.

“Bah, all vendors just try to show how everything they could possibly make money from fits into their branded word of the day. Now get me photos of that Spiderman!” I said in my best grumpy editor voice.

But, when Karen Rubin, Product Owner, HubSpot, spoke at Email Summit 2011, she said something that really made my ears perk up (about seven minutes into the above video)…

“Those house email lists, that’s really inbound marketing. When you think about it, those are people asking to hear from you. They want to get more information. So, you’re not interrupting them when you go in their inboxes.”

Inbound & Down

So, basically there are two opposing schools of thought circling around the Interwebs right now:

  • “Email is dying” and on its way down
  • Email marketing, at least when done right, is really inbound marketing – a hot and growing marketing tactic

Or perhaps both are true? List buying is dying, while house lists continue to be effective?

In your experience as a professional marketer, which statement do you think is the most true:

  • Email is going the way of bell bottoms and Hammer pants
  • Email marketing is a form of inbound marketing – hot, profitable, muy caliente
  • Email marketing isn’t one thing – list buying is dying, but house lists are as profitable as ever (Kaching!)

Content marketing goes well beyond publishing text-based material. Your company can provide videos, slide decks, Twitter feeds and even Web-based tools — like ClickMail’s ESPinator.

ClickMail pairs companies with email service providers (ESPs) and helps them establish effective programs. For years, its marketers have published a blog and an annual PDF guide about selecting ESPs.

“We’ve always felt that we had a clear view of the strengths and weaknesses of the various ESPs,” says Marco Marini, CEO, ClickMail. “From that, we evolved into an annual guide on selecting the best one. It’s completely vendor-neutral. It doesn’t talk about any vendors at all, just what the factors are.”

The ESPinator is the next step in that strategy, Marini says. Launched last month, the tool asks users a series of questions and suggests up to three ESPs that are well-suited to their needs.ESPinator screen shot

“Every vendor at a trade show says their solution is the best. There truly isn’t a best solution. It all depends on what your specific needs are,” Marini says.

“There are more than 30 ESPs in the tool, and we don’t have a relationship with the vast majority of them. So this is truly more for the email marketing audience.”

Upfront investment vs. long-term upkeep

Content marketing requires investment. Someone has to create the content and it has to be really, really good. You can either invest your time or pay someone else. Either way, there is no free lunch.

This is also true of ClickMail’s ESPinator, which took over two years to create and is still in beta. One of the biggest challenges was building its scoring system. Each ESP had to be scored in various categories so it could be matched against a user’s needs.

One such category is each ESP’s depth of integration with salesforce.com, a popular CRM solutions provider.

“All [salesforce.com] integrations are not created equal among ESPs,” says Cameron Kane, CTO, ClickMail, who headed the project. “Some may synch simply contact data, some synch lead and contact data, some work with custom objects, some will not work with custom objects” and so on.

– Keeping content alive

Some types of content — such as books — require a onetime investment. Once a book is published, it’s published. Blogs, on the other hand, require on-going investment or they will wither and die. ClickMail’s tool is somewhere in the middle and will require updates.

“When an ESP on that list comes up with a new version or enhancements, we need to go back and modify the scores on those areas that they have potentially improved,” Marini says.

Marketing plans to attract attention

The ESPinator is so new that ClickMail has just begun its promotion. The team launched it at the MarketingSherpa Email Marketing Summit last month — the industry’s largest event — and plans to do more soon.

Ideas they are kicking around include:

  • Offering co-branding partnerships to companies
  • Offering the tool to prospects as part of the lead-nurturing process
  • Pitching the tool to industry press and blogs (like this one) to score inbound links

Ultimately, the team hopes that the ESPinator provides a useful service and helps attract attention to ClickMail and its services. Furthermore, the tool’s calculated suggestions will help position ClickMail as a company that is well-suited to help marketers choose email providers.

“When you say content marketing, I immediately think of thought leadership,” Marini says. “Our company philosophy is to show that value upfront without asking for anything.”

Many consumers rely on social networks to help steer them toward wiser purchases. Some research shows that a majority of consumers do this. Scott Geiser, Senior Digital Analyst, KFC, is aware of the trends.

“It’s almost like consumers are shaping brands nowadays and brands are forced to be transparent… We know we are in that position and have to give our consumers ownership.”

Geiser handles KFC’s digital marketing, such as its website, email and social media efforts. Last year, his team needed to launch a new product, the Double Down. The breadless sandwich consisted of cheese, bacon and sauce sandwiched between two chicken filets.

Simple social and email tactic

“The first time we truly used social media to our benefit, we sent out an email with just a picture of the Double Down and links to share it in social media,” Geiser says.KFC Double Down Email

The team sent the email on April Fools’ Day, about two weeks before the Double Down would officially launch. The email included:

  • Subject line: “The KFC Double Down, it is real, no fooling”
  • Large headline: “It’s real”
  • Large product image
  • Message: “The Double Down coming April 12. Give your friends a heads up”
  • Facebook and Twitter buttons to share the message

After sending the email, the sandwich’s prelaunch marketing was mostly in the hands of KFC’s email subscribers and their contacts on social networks.

“We did not go to any other media outlet before launch other than delivering it via email,” Geiser says.

Social influencers in your email database

Geiser knew KFC’s subscribers had a passion for the brand, and he had a hunch that this simple email would spread some buzz. But his team was surprised by the level of response.

The message had almost a 40% open-rate and over 10,000 shares on Facebook and 2,000 re-tweets on Twitter.  The phrase “Double Down” quickly rose to #2 on Google’s Hot Search list and #3 on Yahoo’s Buzz Index, and several late-night talk shows mentioned the sandwich, he says.

“This was certainly one of our most successful product launches of the year and it all began with social media [and email]… It really taught us that our social influencers are very valuable,” Geiser says.

The results have helped energize the team to learn more about the social influencers in its email database and how to attract and satisfy more of them. After squinting at my screen for weeks trying to read the MarketingSherpa 2011 Email Marketing Benchmark Report PDF, I finally have a hard copy sitting on my desk — and it’s bursting with insight.

Having read the executive summary weeks earlier, I flipped through the chapters today and was struck by this stat:

Does your organization have a method for quantifying ROI from email marketing?

  • No: 59%
  • Yes: 41%

Email marketing can be amazingly efficient. B2C marketers report an average 256% ROI from the channel — pulling in $2.56 for every $1 invested — as mentioned later in the report.

What shocks me is that 59% of email marketers have not gauged their program’s efficiency. This means their company executives are likely unaware of the amazing job they’re doing. Even if executives have seen the clickthrough and conversion rates, they’re likely thinking about that line from Jerry Maguire.

Show me the moneyShow me the money

At last week’s Email Marketing Summit, Jeanne Jennings, Independent Consultant and MarketingSherpa Trainer, shot holes in many of the excuses she’s heard for why companies can’t calculate email’s ROI.

Here are three she highlighted:

  1. Our Web analytics software doesn’t provide this information
  2. We can’t track online sales back to email
  3. We don’t have an exact figure for costs

Taking these one at a time, Jennings noted that 1) most analytics solutions can provide the information. Google Analytics does and it’s free. 2) Setting up the tracking is simple. 3) You don’t need exact figures.

“As long as you can compare in an apples-to-apples fashion, that’s enough to get started,” Jennings said.

Judging performance by clickthrough and conversion rates is not enough — you should know the revenue generated, both on a campaign-level and a broader program-level.

Two simple calculations Jennings suggested:

  • Return on investment: Net revenue / cost
  • Revenue per email sent: Net revenue / # of emails sent

On a campaign-level, these metrics will reveal which campaigns pull in more money — not just more clicks. For your overall program, they quickly convey the importance of your work.

Also: The movers and shakers in your company are going to be much more impressed with figures that include dollar signs.

Show email’s potential

Another way to convince executives of email’s power is to point to success at other companies. Also at the Email Summit last week, Jeff Rohrs, VP, Marketing, ExactTarget, mentioned Groupon as a great example that email marketers could rally around.

Forbes recently dubbed the localized deal-of the-day website the fastest growing company ever, and its success is largely due to great email marketing.

The Wall Street Journal mentioned Groupon’s 50 million email subscribers as a competitive advantage and that some analysts estimate its value at $15 billion.

The executives will care

Once you can clearly attribute revenue and ROI to email, you might be surprised at how much attention you attract from company leaders.

At the Email Summit, Philippe Dore, Senior Director, Digital Marketing, ATP World Tour, presented his team’s email strategy to sell tickets to professional tennis events. A single email drove over $1 million in revenue, and several others brought in over $100,000 each.

The overall email campaign generated about $1.5 million in total. Suddenly, ATP’s executives were interested.

“We have our CMO talking about email marketing and subject lines,” Dore said.

Email Plus Facebook Marketing: Fresh ideas from FreshPair

There is a certain tribe of marketers out there that are Pied Pipers for a new way of thinking. Email is dead. Get social.

Well, there are many metrics I can give to refute that stance, but here’s my favorite – paid attendance to next week’s MarketingSherpa Email Summit 2011 is up 40% from last year.

Horn tooting done, my point is that the best strategy for most marketers is to engage in both email AND social media marketing, despite what the rhetoric-filled and biased bloggers out there may say. This may not be shocking news to you. Your bigger question is likely – but how?

Well, that’s why we have the Email Summit to begin with, to learn from all the high-performing marketers out there. So, I turned to Lindsay Massey, Marketing Director, Freshpair to share some techniques and tactics that might help your efforts.

Lindsay is a panelist for the how-to panel at Email Summit entitled, “Growing Email Lists and Engaging Customers with Social Media.” Freshpair.com is a leading intimate apparel retailer. You can find them on Facebook and follow them on Twitter. But first, read on…

So, the first thing that jumps out at me from your successful campaign is that Facebook is the “next big thing” in email, while email is supposedly “dead.” Yet, essentially, to me your campaign was really just a traditional email send where Facebook was the conversion goal. “Dead” delivers I guess? How did you approach this send similar to other promotional sends, and in what ways was it different?

Lindsay Massey: We look at email and social as great complements to each other, and we definitely don’t see email as “dead.” After all, how does Facebook notify you that you have new comments or messages? Email!

By engaging our email subscribers in another relevant channel, we are able to interact with them on a more personal level, share unique content to generate buzz and ultimately engage more people in our brand. We approached this send like other promotional sends that are part of a larger campaign in that we developed an offer, segmented our list to target customers with the highest propensity to participate and, where this message would be relevant, created supporting content on Facebook and tracked the results.

This email campaign was different from other promotional sends in that the main goal was to encourage people to follow us on Facebook rather than go straight to freshpair.com. We measured the success differently than other campaigns – number of fans in addition to standard email KPIs.

Why email? Why not, say, Twitter?

LM: We definitely promote our Facebook presence on Twitter as well. The email was just one piece of our overall campaign. We chose to promote Facebook over Twitter for this particular campaign, mainly because Facebook allows you to customize the experience more than Twitter.

We were able to show more content tying back to the email. As soon as a customer fanned us, we were able to display new content that gave them the offer and let them click to freshpair.com to shop. A different approach could definitely be utilized on Twitter and would be a great follow-up campaign.

What is the importance of a Facebook fan-acquisition campaign? What is the value of a Facebook fan?

LM: For us, the goal of a Facebook presence is to strengthen our brand and reach new customers. By encouraging our existing customers and brand loyalists to join, we are able to build our relationship with them, as well as encourage them to share us with their friends.

Buying intimate apparel online can be challenging, so we try to educate fans with photos and take on a friendly tone by sharing funny statistics, like what percentage of people own a lucky pair of underwear. By keeping followers engaged and giving them unique content, we leave a favorable impression, so they remember us when it’s time for a fresh pair!

When it comes to measuring social media, the focus must go beyond traditional e-commerce analytics. We use Omniture to gauge the impact of our Facebook presence, specifically the conversion rates of visitors coming from Facebook. However, we consider Facebook to be more of a branding tool, so the exact value of a Facebook fan goes beyond the data in Omniture.

We also look at fan count and interactions. The customer insight you gather through social media will help you develop strategies across all marketing channels to get new customers in the door and keep them in the door. For example, we test different types of content within posts to see what people are most interested in interacting with. We then use this to inform marketing campaigns to further shape our other social initiatives.

Why aren’t social media sharing buttons enough?

LM: The social media sharing buttons are also important, and we include those in our campaigns as well. However, we see the main content receive the majority of clicks, while the share buttons receive a very small fraction of the clicks in each email campaign. We felt it was important to dedicate an entire campaign to acquire fans, but we also continue to push social through emails and onsite messaging as well.

It’s important to note that one dedicated email is not enough. Acquiring Facebook fans or Twitter followers should be an ongoing effort across channels in order to see the best results. Social isn’t just about sharing content, it’s also about extending interaction to new spheres and providing additional value to your fans. Share buttons are limited in that they don’t allow you to proactively communicate with interested parties and build your brand.

What is the downside of a dedicated send to try to attract Facebook fans?

LM: We didn’t see a downside to this specific campaign. The unsubscribe rate was not higher than a regular promotional send, and the segment of customers we mailed was highly engaged. The subject line actually led to an open rate that was 40% higher than average.

For all the marketing VPs and directors out there, what are the biggest lessons they should take away from your success?

LM: Email can be a very effective driver for Social. Before you begin a Facebook acquisition campaign, be sure you have a clear goal and strategy in place, as well as a supporting content strategy for your Facebook page.

Also, you could start small with a test to your most engaged customers to gauge response before you roll it out to a larger list. Then continue to marry your email and social strategies, so customers can get the information they want in the form they like best.

One of the things that we struggle with is catering to multiple demographics – some people want to see pictures of men in underwear and some people want advice on which bras go with what. Before you push your social presence to your entire list, make sure that you have a defined content strategy (either focus on one demo or have something for everyone so no one feels left out).

As for Facebook specifically:

  • Be sure to develop a clear strategy for Facebook overall, so new and existing fans continue to be engaged. If you are just on Facebook to be on Facebook or because your competitors are there, take a step back and rethink your long-term strategy.
  • Be sure to devote resources once your strategy is in place, so your Facebook page stays current. Take time to engage with your fans and continue to provide them with unique and interesting content.
  • Promote your acquisition campaign across multiple marketing channels – not just email, and be sure to track your results.

Increasing your emails’ relevance is one of the most effective ways to improve results — but it is also one of the most challenging, and for a variety of reasons.

Sometimes the largest roadblock isn’t expertise, money or will power — but time. A marketer might know exactly what to do and how to do it, but first has to design the next landing page, create the next PPC ad, finish off some copy, attend a meeting, etc.

Sound familiar?

The good news is that this challenge does not come without opportunity. Simplifying part of your process can be the best thing you’ve done for your email marketing in months.

Production was a nightmare

For example, Brad Hettervik, Product Manager, Marketing Systems, Oversee.net, handles the email marketing at LowFares.com, a travel comparison site owned by Oversee. LowFares.com’s weekly email newsletter, Travel Insider, features travel deals selected from hundreds that are forwarded to Hettervik’s team by its partners.

Before the team streamlined the newsletter’s production, partners sent lists of deals in different formats and through different channels. Team members would have to:
o Manually gather the deals
o Go through the lists
o Check each deal by copy-and-pasting their URLs
o Copy the text of deals they would use
o Apply tracking codes to the URLs
o Create the email newsletter

“We select the top 20 to 30 deals out of potentially thousands of deals. So the production part of that was a huge nightmare,” Hettervik says. “It would take sometimes 15 hours,”

“Some of these deals expire in eight hours or 24 hours, so the speed is very important… [But] the production aspect was so labor intensive that if you wanted to add any more layers of targeting, the complexities got out of control” and some deals would expire before reaching subscribers, Hettervik says.

From 12 hours to 30 minutes

The team has since built an email tool in-house to simplify the process. It is a desktop application that pulls the week’s deals from each partner into a single interface. A marketer can click a check-box to select deals to include in the newsletter. Then, with a single click, it codes the URLs and generates the newsletter’s HTML.

The eight- to 12-hour process could easily be completed by an experienced marketer in 30 minutes, Hettervik says.

“Now that we’re not spending a full day or a day-and-a-half creating [each email], that has allowed us to get more analytical with our reporting…We are able to do a lot more targeting, a lot more testing and now it has actually helped us quite a bit in terms of delivering relevant emails to our user base.”

Email Marketing: A customer-focused mindset at ATP World Tour

Watching my Jaguars opt for quiet, January Sunday afternoons at home with the family instead of getting pummeled by large men in Arctic conditions (who needs the playoffs, anyway?), I realized that sports is a great example of a product that I care about in a real-time fashion.

So, I asked Philippe Dore, Senior Director, Digital Marketing, ATP World Tour his thoughts about using email as a real-time marketing tool, as well as a few insights about the case study he will be presenting at Email Summit 2011 in Las Vegas, “Executing a B2C Campaign with a Small Team and Low Budget.” It was game, set, match, profit for the men’s pro tennis tour, with an impressive amount of revenue generated per send.

Here’s what Philippe had to say…

At Email Marketing Summit 2011, keynote speaker David Meerman Scott will be discussing real-time marketing. What do you think the role of email is in real-time marketing?

Philippe Dore: I am looking forward to hearing David’s keynote in Las Vegas on this interesting topic. Real-time marketing is becoming quite a buzz word especially with the explosion of social media and the availability of new tools today for marketers to “listen” and engage with their consumers in real-time. There is definitely a need for real-time marketing with email and successful marketers have already been taking advantage of it.

There are some really good examples, especially in my industry (sports). Most major sports league in this country capitalize on the ‘live’ moment and send merchandise email offers immediately following the completion of a significant event like the Super Bowl or NBA Playoffs. It works very well in our sports and entertainment industry where we capitalize on consumer passion.

We’ve done similar promotions here at ATP World Tour with real-time marketing emails after significant events. As soon as Rafael Nadal won Wimbledon earlier this year, we had a splash page on our website and an email was sent with “Nadal Wins Wimbledon – See Him Back In London This November.”

Another example is when our players qualify for our season-ending championships: “Federer Qualifies For London.” Those messages not only let the consumers know the news, but invite them to consume more content – whether it is buying a ticket for an upcoming event or simply read a special story or feature on our website. We catch them in the heat of the moment and that is a great thing.

We’re also looking at mobile/text alerts, which has great potential for real-time marketing.

In the case study you’re presenting at Email Summit 2011, you started with zero opt-ins, yet you chose to build your own list instead of buying a list. Why?

PD: Yes, having a clean list of fans who wish to receive our content is important to us. We prefer quality over quantity so we are not interested in purchasing lists. Our email program welcome message, a Marketing Sherpa award winner, even tells the consumers that we know what it’s like to get a lot of emails so we encourage them to “customize their email experience”! Not many marketers do that.

You derived $21.82 in revenue per message sent. I just want to clarify that for a moment because I think that’s quite phenomenal. That is per individual message sent. Do you think you could have achieved this kind of success with a similar campaign in a different medium, or is there an intrinsic aspect of email marketing that helped deliver this impressive response?

PD: This is another example of real-time marketing. The example you are referring to is from a triggered welcome message on opt-in. Not only did we get the person’s email and start the digital relationship, but we were able to capitalize on the moment and achieve a high conversion rate. Email was definitely the perfect medium for our campaign in this case.

And I’m guessing the cost to send each individual email message was significantly less than $21.82…so the ROI must have been quite impressive?

PD: Yes, our cost of sending is our regular email service provider (ESP) cost per message sent. All our emails campaigns are done in-house.

While we received many speaking submissions from agencies on behalf of client-side marketers, yours was one of the few that came directly from the marketer with a campaign that was performed entirely in-house. So, I’m guessing you’ve gotten your hands dirty, so to speak.

While many marketing VPs and directors focus on the big picture and leave the details to someone else, what tactical know-how do you think they should be careful not to overlook? What details would you advise a marketer with an agency to focus on?

PD: Yes, email marketing is still fairly new for us since we’ve only been doing it since 2008 if you can believe it. It is now an integral part of our digital strategy so I am staying close to it. We even had our CMO weighing in on subject lines last year!

Marketers should make sure to keep a consumer-focus mindset when doing email marketing. We do not send any messages that we would not want to receive ourselves. It is also important to look at metrics frequently and improve email after email.

Email Deliverability: Getting into Gmail’s ‘Priority Inbox’

Google recently published some detailed research on Gmail’s Priority Inbox feature. The four-page PDF includes some key features and specific calculations that power the email-filtering function.

I am honestly shocked at the level of detail provided. Readers with a math background might be able to further deconstruct the supplied equations, but the explanatory information alone provides a wealth of information.

Here’s what jumped out at me from the “Learning Behind Gmail Priority Inbox” PDF:

‘Many Hundreds’ of Data Points

Priority Inbox ranks mail by the probability that the user will perform an action on that mail. The calculation is made on a per-user basis and is based on hundreds of data points.

There are several categories of data points, or “features,” used to determine whether a message is marked as “unread” or “everything else.”

Here are the categories:

o Social Features – based on the degree of interaction between the sender and the recipient, such as the percentage of a sender’s mail that’s read by the recipient. “Opening a mail is a strong signal of importance.”

o Content features – headers and terms in a message that are highly correlated with the recipient acting (or not acting) with a message.

o Thread features – the users’ interaction with the thread so far, such as if the user began the thread or has replied.

o Label features – the labels that the user applies to messages using filters.

Time is of the Essence

A stated goal is “to predict the probability that the user will interact with the mail” within a set time frame, giving the mail’s rank.

I am not a math wizard — but it appears that your messages will have a higher likelihood of being prioritized in the inboxes of users who typically open and/or act on them quicker than other messages they receive.

More “False Negatives” than “Positives”

If Priority Inbox makes a mistake, it is more likely to let an unimportant message into the inbox than it is to boot an important message into “everything else.”

“The false negative rate is 3- to 4-times the false positive rate,” according to the document. When tested on a control group, the system’s accuracy was about 80%, plus or minus 5%.

Changing Behavior

Google analyzed the amount of time some employees spent on email with and without Priority Inbox. Priority Inbox users spent 6% less time reading email, and 13% less time reading unimportant email. They were also more confident to delete email.

If this trend holds true across all Gmail users, companies sending irrelevant emails will notice even lower response rates from Gmail users over time.

Bottom Line: Keep on rocking

There is nothing in this document that should concern email marketers with effective programs. Gmail’s Priority Inbox will measure the high interaction rates your team achieves and categorize your messages accordingly.

For marketers whose email programs lack relevancy and value, this document should be one of many wake-up calls you’ve received to overhaul your program. Our Email Summit is less than two weeks away and you can learn a lot from the hundreds of marketers in attendance.

One of the key takeaways from last year’s MarketingSherpa Email Summit was that improving engagement with email subscribers could improve deliverability. Email service providers now consider all the positive and negative interactions with your messages when deciding whether to mark your messages as spam.

This means subscribers who rarely open or click email messages can drag down your emails’ reputation. What can be done about this?

Remove unresponsive names

First of all, as noted in the MarketingSherpa 2011 Email Marketing Benchmark Report, the effectiveness of tactics used to improve deliverability varies significantly. However, one marketer told our researchers:

“Removal of non-participating subscribers has had the most influence on improving deliverability and email performance rates in all aspects of email marketing. In other words, get rid of the deadbeat email addresses and everything improves, and the spam companies leave our email alone.”

Deleting unresponsive subscribers might seem extreme. A typical rationale is that they have not unsubscribed and they might convert some day. Since email costs nearly nothing to send, why not hold on to the names?

My assumption, based on years of interviewing all types of marketers,  is that regularly emailing subscribers who’ve not acted in six months or longer is more likely to hurt your email program than it is to help it. The good news is that you do not have to delete them outright — at least not right away.

Win them back or kick them out

You can try to reactivate unresponsive subscribers with a win-back or re-engagement campaign. This way you can hopefully salvage some good names from the trash heap.

A more radical tactic is to ask all subscribers to re-opt-in. This was done in one instance by an email marketer at the Indianapolis Symphony Orchestra who had a mostly unresponsive database. Although he eventually cut about 95% of his subscribers, it gave his team a solid foundation from which to build an effective program and helped double online sales.

The hardest part about these strategies is the last step: deleting the subscribers who do not respond. You might be persuaded to think that these names cannot be worthless, that they must have some value. And they do have value: negative value. Continuing to email them is only going to hurt, so let them go.
